Purpose of this Privacy Policy
This Privacy Policy explains how BlokLink handles personal data and building-operations data when users access the platform. It is written for a global-ready platform and acknowledges the initial North Macedonia building-management pilot without making privacy rights identical in every country.
Who is responsible for data
Responsibility may depend on the customer agreement, management company role, user location, building location, and applicable law. A management company may be the controller for resident and building operational data, while BlokLink may act as platform provider, operator, or service provider/processor as applicable.
BlokLink as platform provider
BlokLink provides the application, authentication, role boundaries, audit records, security controls, and operational workflows. Platform administrators may access data only where required for support, security, compliance, troubleshooting, or platform operation.
Management company responsibilities
Management companies are responsible for the accuracy and lawfulness of building, unit, owner, tenant, staff, Resident Terms, Building Rules, Notices, contacts, and operational records they configure or upload, where they act as controller or responsible customer.
BlokLink as service provider or processor
Where BlokLink processes management-company data on behalf of a customer, BlokLink uses the data to provide the service, protect the platform, maintain records, and follow applicable customer instructions or written agreements.
Data collected
Data may include account and contact details, role/company/building/unit links, access requests and evidence, owner/tenant access records, issue reports, updates, also-affected records, Notices, notifications and inbox activity, attachments/evidence, audit/security records, session/device records, language and appearance preferences, browser/PWA notification preference or subscription-readiness records, and terms acceptance records.
Why data is used
BlokLink uses data to provide the platform/service, authenticate users, enforce authorization, support building operations, record issue and Notice activity, manage access requests, provide notifications, support data-rights workflows, keep audit/security records, and troubleshoot or improve operational reliability.
Lawful reasons and legal bases
Depending on applicable law, data may be used to provide the platform/service, support the customer or management-company relationship, meet legitimate operational and security interests, comply with legal obligations, or rely on consent only where specifically requested for optional processing. Accepting Terms acknowledges this Privacy Policy but is not broad consent to all data processing.
Who can see data
Users can see data within their authorized scope. Management company staff see records according to role and scope. Support specialists are limited to assigned scope. Platform admins may access data where required. Service providers may process data only where needed for hosting, storage, delivery, support, or security.
Access evidence and attachments
Access-request evidence, issue attachments, photos, files, and other uploaded material may contain personal or third-party information. Users and management companies should upload only relevant, lawful material and should avoid unnecessary private third-party information.
Audit, security, session, and terms records
BlokLink records audit logs, security events, session/device information, notification activity, and terms acceptance records to protect accounts, prove operational actions, troubleshoot issues, and support compliance or dispute review.
Data retention and review
Retention periods may vary by record type, customer agreement, building-management need, legal obligation, security need, or dispute context. Operational records may be retained while relevant to building operations, audits, legal claims, accounting, compliance, or security.
Data export, account closure, deletion, and anonymization
Signed-in users may request export, account closure review, deletion review, or anonymization review through available data-rights controls. These workflows require review and may not produce immediate deletion where records remain necessary or legally restricted.
Limits on deletion
Deletion or anonymization may be limited for operational records, audit logs, security records, terms acceptance records, access evidence, Notices, issue history, attachments, legal/dispute records, or records needed to protect another user, the management company, or the platform.
International providers, transfers, and local law
BlokLink may be used in different countries and may use service providers located in other jurisdictions if configured. International transfers, local-law rights, notices, and safeguards may depend on the customer arrangement and applicable law.
Security measures
BlokLink uses practical security measures such as authentication, role-based access, company/building/unit scoping, anti-forgery protection, session controls, audit logs, password hashing, and administrative access limits. No system can guarantee absolute security.
Cookies and browser/PWA notifications
Essential cookies support sign-in, session security, language, and building context. Browser/PWA notification permission is controlled by the browser/device. The pilot does not use advertising cookies, marketing cookies, analytics tracking, or sale of user data.
Children and minors
BlokLink is intended for authorized building-management users, owners, tenants, staff, and administrators. It is not directed to children. If a minor may be involved, the responsible management company and legal guardians should ensure appropriate authority and local-law compliance.
Changes to this Privacy Policy
BlokLink may update this Privacy Policy as the pilot, platform, customer agreements, or legal requirements evolve. Material changes may be communicated through the platform or require users to review updated Terms where appropriate.
